Only a Super Admin can delete an account in CECI. 


When the request comes in, assess why they want to have an account deleted - created by mistake, created as a test account, used with other employer, no longer employed somewhere, etc.


You will need the email address and individual's name of the account.


1. Go to the Admin Page 

2. Search for the individual using the email address. If you do not have the email address, and only a name, search by the name. If there are several matches for that name, you will have to review all of the accounts of that user to determine next steps.

3. Masquerade as that individual and review their account to see if there are

  • Any users in their Default Group
  •  Any Coaching Partnerships established
  • Any resources added to My Resources
  • If they belong to any CoP Groups


Scenario A:

4. If the answer to the 4 items of #3 are that there is nothing in any of these tabs, logout of that user's account and re-login to your Super Admin account. If there is no data saved in this user's account, there will be nothing lost by deleting the account. The user can recreate their account in the future if the account is deleted.

5. Go back in to the Manage Users, Search for Users and enter the email address. Then click the Delete button. You will be asked to confirm that you want to delete the account.

6. Go back in to the ticket and respond with:

Hi (requester's first name),

I have confirmed that there is no data saved in this account and deleted the account.

Thanks,

(Your Name)

7. Click the RESOLVED button and give this ticket the Tag of Delete CECI Account


Scenario B:

If there is data saved in any of these four pages in CECI, determine if it carries significance. 

  • If the user is only linked to a few people in Manage Groups, but there are no Coaching Partnerships, CoP Groups or other interactions on their page, there is no problem with deleting the account. Log out of that user's account and log back in as your Super User account. Follow steps 5-7 in Scenario A.
  • If the user has any Coaching Partnerships set up, look at those partnerships to see if any goals were created. If no goals were created, there is no problem with deleting the account. Logout of that user's account and relogin as your Super User account. Follow steps 5-7 in Scenario A.
  • If the user has an CoP Groups that they are a part of, look at those groups and see if the user is the Admin of that group. If they are just a member, there is no problem with deleting the account. Logout of that user's account and relogin as your Super User account. Follow steps 5-7 in Scenario A.


Scenario C: 

4. If there are resources uploaded to the My Resources section or if the user is an Admin for a CoP group, or if it looks like this user was actively engaging with other users on their site, we discourage deletion of the account. Deleting an account will delete any resources that the user shared with others on the site.

5. Logout as that user and log back in as your Super User account. 

6. Go back in to the Manage Users, Search for Users and enter the email address.

7. Click the Suspend button for this user. This will not delete the account, but it will not let that user log back in to the site without a Super Admin reactivating their account.

8. Respond to the ticket of the requester of this action and say:

Hi (First Name),

I noticed that there is significant enough activity in that account that we do not recommend deleting it, as this will remove any resources that the user shared with others from Coaching Partnerships, CoP Groups, etc.

What I have done is 'suspend' the account. This means that that user can no longer log in to the site. Their password is no longer active. If they try to log in to the site, they will get a message that their account has been suspended and they must request reactivation of their account. 

Please let me know if this is sufficient. If not, please explain further why deletion of the account and all data associated with the account is required.
